Terms and Conditions

    These Terms govern your access to and use of SchoolCentralX

    Last updated: 16 April 2026

    These Terms and Conditions ("Terms") govern your access to and use of the SchoolCentralX website, web platform, mobile applications (iOS and Android), and related services. SchoolCentralX is a product of Volume Media Limited ("Volume Media Limited", "SchoolCentralX", "we", "us", "our").

    By accessing or using SchoolCentralX, you agree to these Terms. If you are using SchoolCentralX on behalf of a school, trust, nursery, college, academy group, or other educational organisation, you confirm that you are authorised to bind that organisation to these Terms.

    1. About SchoolCentralX

    SchoolCentralX is a parent-facing school-parent communication and engagement platform. It helps educational organisations share information with parents and guardians and enables parents to engage with their child's school.

    The mobile app is designed for use by parents and guardians only. Students do not have direct access to the mobile app. Features available to parents may include receiving notices and announcements, parent-school messaging, viewing school and class calendars, timetable information, attendance records, homework visibility, absence request workflows, event and appointment management, responding to consent requests, behaviour-related updates, viewing school galleries and media, and other related communication tools.

    Features vary by subscription plan, configuration, region, and release stage. The web platform may additionally support school administrators, teachers, and staff.

    2. Who These Terms Apply To

    These Terms apply to:

    • Schools, trusts, and educational organisations subscribing to SchoolCentralX;
    • School administrators, teachers, and staff authorised by a customer (primarily via the web platform);
    • Parents and guardians using the mobile app or web platform through a school relationship;
    • Visitors to the SchoolCentralX website (where relevant).

    3. Eligibility

    You may use SchoolCentralX only if you are legally capable of entering into a binding agreement, are authorised to act on behalf of a school or organisation (where relevant), provide accurate registration information, and use the service in accordance with these Terms and applicable law.

    4. Customer Contracting Entity

    All contracts for paid services are entered into with Volume Media Limited unless otherwise agreed in writing. Separate subscription agreements, order forms, or Data Processing Agreements supplement these Terms and prevail in case of conflict.

    5. The Services

    We may add, modify, suspend, or remove features at any time. Specific features are not guaranteed unless expressly included in your subscription or written agreement.

    6. Accounts and Access

    Users must provide accurate information, keep login credentials confidential, control access to their devices and accounts, and notify us or the relevant school promptly of any suspected unauthorised access. Accounts must not be shared in ways that undermine security, safeguarding, licensing, or audit requirements. We may require additional identity verification where necessary.

    7. School-Managed Access for Parents

    Schools may invite or link parents/guardians to the service. Schools are responsible for the underlying parent-school relationship and may request changes to access, information visibility, or account status in line with their policies and lawful authority. We may rely on lawful instructions from the school regarding parent access linked to student records.

    8. Acceptable Use

    You agree not to use SchoolCentralX for unlawful, harmful, fraudulent, abusive, or misleading purposes; harass, bully, threaten, defame, or impersonate others; upload or share content you lack rights to; interfere with platform security or performance; or breach safeguarding, privacy, or intellectual property obligations.

    9. Content, Communications, and User-Generated Material

    The parent app and platform allow parents/guardians (and school staff via the web platform) to submit, send, upload, or share content such as messages/replies to the school, responses to consent requests, comments, photos, videos, or other materials.

    You are solely responsible for all content you submit or share. Content must be accurate (where expected), lawful, appropriate for a school-parent context, and must not infringe rights or contain unlawful, abusive, obscene, discriminatory, threatening, bullying, or otherwise inappropriate material.

    We prohibit content or behaviour that:

    • Harasses, bullies, or endangers children, parents, staff, or others;
    • Violates safeguarding or child protection laws;
    • Constitutes spam, scams, or unsolicited commercial messages;
    • Infringes intellectual property or privacy rights.

    To maintain safety and platform integrity, we may (and reserve the right to) filter, review, restrict, remove, or disable access to content; investigate reports; suspend features (such as messaging); block users; or preserve records for legal, safeguarding, or security reasons.

    Users are encouraged to use any in-app reporting or blocking tools provided. We will take reasonable steps to moderate reported content and respond to valid safeguarding or legal concerns. However, we do not guarantee real-time monitoring, and users retain primary responsibility for appropriate use.

    10. School Responsibilities

    Schools must ensure they have a lawful basis, appropriate notices, and permissions for processing and sharing personal data (including student data) via the platform; set appropriate permissions for parent access; maintain accurate records; handle their own safeguarding and compliance frameworks; train staff; and not rely on SchoolCentralX as the sole channel for urgent, emergency, or critical safeguarding communications.

    11. Children's Data and School Use

    SchoolCentralX is a parent-facing service and is not directed to children for independent use. Students do not have direct access to the mobile app.

    Where schools upload or manage student information (including data relating to children under 13) so that it can be shared with parents/guardians via the app, the school acts as the data controller and is responsible for determining the lawful basis, providing notices to parents/guardians, and obtaining any required consents or authorisations under applicable laws (including COPPA, FERPA, GDPR, or equivalent child privacy and education laws).

    SchoolCentralX acts primarily as a data processor for school-managed student data and processes it solely for school-authorised educational and parent-communication purposes. We do not use children's personal data for advertising, targeted advertising, sale, or unrelated commercial profiling. We rely on schools to authorise processing consistent with applicable law and FTC guidance on school authorisation as the parent's agent for educational purposes only.

    12. Privacy and Data Protection

    Use of SchoolCentralX is subject to our Privacy Policy, Cookie Policy, Data Processing Agreement (where applicable), and any separate customer agreements. We act as processor for school-controlled data (including student data) and as controller for our own operational, security, billing, and legal purposes.

    13. Fees and Payment

    Fees are set out in your subscription or written commercial terms. Fees are generally non-refundable (except where required by law), payable in the agreed cycle, and late payment may lead to suspension after notice.

    14. Free Trials, Beta Features, and Early Access

    These are provided "as is" on a temporary basis and may be modified or withdrawn at any time, with potentially reduced support.

    15. Intellectual Property

    All rights in SchoolCentralX (software, design, branding, etc.) remain with Volume Media Limited or its licensors. Customers and parents/guardians retain ownership of data and content they upload, subject to the licences needed for us to provide the services.

    16. Feedback

    Any feedback you provide may be used by us without restriction or compensation (subject to confidentiality obligations).

    17. Availability and Service Limitations

    The service is provided "as available" and is not guaranteed to be uninterrupted. SchoolCentralX is not an emergency or sole safeguarding channel and should not be relied upon as the only means of urgent communication.

    18. Third-Party Services

    We rely on third-party providers for hosting, notifications, payments, analytics, security, and other functions (as detailed in our Privacy Policy). We are not responsible for issues caused solely by third parties outside our reasonable control. Any sharing of personal data with third parties is governed by our Privacy Policy and subject to appropriate safeguards and permissions where required by law.

    19. Suspension and Termination

    We may suspend or terminate access for legal reasons, security, breach of these Terms, non-payment, or to prevent harm. Termination does not relieve payment obligations or surviving provisions.

    20. Account Deletion

    Parents/guardians may request deletion of their account via in-app or web-based tools (where available) or by contacting privacy@schoolcentralx.com. School-linked accounts may require notification to or involvement of the relevant school where appropriate and lawful. Deletion is subject to legal retention obligations, safeguarding considerations, security, fraud prevention, dispute resolution, financial recordkeeping, and technical backup cycles. We aim to action valid requests promptly.

    21. Disclaimer

    SchoolCentralX is provided "as is" and "as available". We disclaim implied warranties to the fullest extent permitted by law. Nothing in these Terms excludes liability that cannot lawfully be excluded.

    22. Limitation of Liability

    To the fullest extent permitted by law, our total aggregate liability is limited to the amounts paid by the customer in the 12 months preceding the claim (or as otherwise agreed in writing). We are not liable for indirect, consequential, or similar losses. This does not limit liability for death/personal injury, fraud, or matters that cannot be excluded by law.

    23. Indemnity

    Customers agree to indemnify us against claims arising from their (or their authorised users', including parents') breach of these Terms, unlawful content, or failure to obtain required permissions or lawful basis for data processing.

    24. Changes to the Services or Terms

    Material changes to these Terms will be notified where appropriate. Continued use after changes constitutes acceptance (subject to applicable law and any separate contracts).

    25. Governing Law and Jurisdiction

    These Terms are governed by the laws of England and Wales, with exclusive jurisdiction of the courts of England and Wales (except where law requires otherwise).
